Help & FAQ
Answers to the most common questions about using The Groomers Base.
Complete all 7 steps in the Setup Guide: Set up your booking page, Tell clients where you are, Add your services, Set your grooming hours, Choose your booking rules, Set up payment, and Set up client notifications. The whole process takes about 10 minutes. Once done, your public booking page at groomersbase.com/book/[your-handle] will be live and ready to share.
Go to your Dashboard and open the Your booking link card. Your booking URL is shown there. Tap Copy link and paste it anywhere: WhatsApp, Instagram bio, Facebook page, or your email signature. Clients tap the link, fill in their details, and you get notified instantly.
If your booking mode is set to “Request Booking”, new bookings appear in the Dashboard under “Needs Action”. Tap the request to review it, then hit Approve or Decline. If the client is paying in person, approving makes the appointment Confirmed straight away. If they're paying online, approving emails them a secure payment link (valid for 48 hours, and never later than 2 hours before the slot) — the appointment shows as Awaiting payment until they pay, then becomes Confirmed. Declining sends the client an email letting them know. To switch to instant booking (auto-confirm), go to Settings → Booking Rules.
Everything lives in one place: Settings → Services & Hours → Time off, breaks & extra hours. Tap Add time off or extra hours and pick what you need: Close days (a date or a range — holiday, sick day), Shorter hours or Extra hours on specific dates, Block a time window on one day (e.g. a vet visit), or a Repeating break such as lunch 13:00–14:00 every working day — set it once and it applies every week. Every entry is listed underneath with Edit and Delete. For a quick one-off window you can also tap Block time in the top-right corner of your Calendar. Closed days and blocked windows are hidden from your public booking page immediately — clients cannot book over them.
Open any completed appointment from Appointments or from Report Cards. Tap Report Card on the appointment, fill in the coat condition, behaviour grade, and your grooming notes, then upload before/after photos. Tap Save draft to finish later, or Share with client when it is ready. This does not send anything by itself. A Report card ready! box then asks Share it with the client now?. Tap Send email to email it to your client. Nothing is sent until you do.
From your Dashboard or Calendar. On the Dashboard, tap Add booking (opens the New booking form). On the Calendar, tap New client to open the Add walk-in form. Search for an existing client by name, or create a new one, then pick a service and time. Walk-ins are added as confirmed appointments immediately — no waiting for client approval. Note: New client on the Dashboard only adds the person to your client list (Add to CRM) and does not create an appointment.
Yes — it's a Progressive Web App (PWA). On iPhone: open the app in Safari, tap the share icon, then “Add to Home Screen”. On Android: open in Chrome, tap the three-dot menu, then “Add to Home Screen”. It runs like a native app and there's nothing to download from an app store. You need an internet connection to use it.
Your booking page pauses (new clients can't book) and your dashboard is locked until you choose a plan. Your existing data — clients, pets, appointments, report cards — is all kept safe, and you can export it at any time from Settings → Data Export. You can reactivate at any time by subscribing from Settings → Billing. Plans start from $39/month.
Yes. All data is stored on Supabase's EU servers (Dublin, Ireland), covered by GDPR. Every groomer's data is fully isolated — no other groomer can see your clients. Data in transit is encrypted via HTTPS (TLS 1.3). You can export all your data at any time from Settings → Data Export.
Unlimited on all plans — Basic and Pro. There are no caps on clients, pets, appointments, or report cards. Pro adds the waiting list, analytics, push notifications and custom email templates.
Yes. By default, the booking page is set to “Pay in person” — clients book and pay you directly after the appointment. Online payments are live too: go to Payments and connect Stripe. Then go to Settings → Payment and choose whether clients pay in person, in full online, a deposit, or get to choose themselves. There's no platform fee from us — only Stripe's standard card-processing fee applies. Full or partial refunds are issued from Payments → Refunds. You stay in full control of how you collect money.
Go to Settings → Your Booking Page. Your handle can be changed once — after that it's locked to protect any links you've already shared. Choose carefully: something short and memorable like your business name works best (e.g. happypaws).
