Terms of Service

1. Acceptance of Terms

By accessing or using The Groomers Base ("the Service", "Platform", "we", "us"), you agree to be bound by these Terms of Service ("Terms"). If you do not agree, do not use the Service.

These Terms apply to all users, including professional dog groomers who register as service providers ("Groomers") and pet owners who book appointments through a groomer's booking page ("Clients"). Clients are users of the groomer's booking page — they do not have their own account with The Groomers Base.

The Service is operated by Christos Panagi, a sole trader registered in the Republic of Cyprus.

2. Service Description

The Groomers Base is a software-as-a-service (SaaS) platform that helps professional dog groomers manage their business. Features include online booking pages, client and pet management, appointment scheduling, calendar management, groom report cards, email notifications, and optional payment processing via Stripe Connect.

We provide software tools. We are not a grooming service provider and are not responsible for the quality of grooming services provided by Groomers to their Clients.

3. Account Registration

To use the Service as a Groomer, you must register an account. You agree to:

  • Provide accurate, current, and complete registration information
  • Keep your login credentials secure and confidential
  • Accept responsibility for all activity that occurs under your account
  • Notify us immediately at support@groomersbase.com of any suspected unauthorized access
  • Be at least 18 years of age

We reserve the right to refuse registration or cancel accounts at our discretion.

4. Subscriptions and Billing

The Groomers Base operates on a subscription basis. Current plan pricing (in USD, billed monthly):

Subscription fees are billed in advance on a monthly basis via Stripe. By subscribing, you authorise us to charge your payment method on a recurring basis until you cancel.

Payment failures.If a payment fails, Stripe will automatically retry up to 8 times over approximately 2 weeks (Smart Retries). If all retries fail, your subscription will be cancelled and your plan will be set to "expired". Your booking page will be deactivated until you resubscribe. Your data is retained for 30 days after expiry.

We reserve the right to change pricing with at least 30 days' advance notice by email. Price changes will not affect your current billing period.

All fees are non-refundable except as required by applicable law or as explicitly stated in these Terms.

5. Founding Member Pricing

Groomers who register for the platform between 27 May 2026 and 31 May 2026 (inclusive, across all timezones) ("Founding Members") will have their subscription price locked at the rate in effect at the time of their first payment for as long as they maintain an active, continuous subscription on that plan.

Founding Member pricing is non-transferable and applies to the individual account only. The price lock applies to the Basic and Pro plan prices only — future add-ons, team seats, or new plan tiers introduced after launch are not included. The price lock is forfeited if the subscription is cancelled and then restarted. We reserve the right to verify founding member status.

6. Free Trial

New accounts receive a 30-day free trial with access to all features, with no credit card required to start. At the end of the trial period, you must subscribe to a paid plan to continue using the Service.

If you do not subscribe before the trial ends, your booking page will be deactivated. Your account data will be retained for 30 days, after which it may be permanently deleted.

We reserve the right to modify or discontinue free trial offers at any time without notice. One trial per person or business entity.

7. Acceptable Use

You agree not to use the Service to:

  • Violate any applicable law, regulation, or third-party rights
  • Upload, transmit, or distribute malicious code, viruses, or harmful software
  • Attempt to gain unauthorised access to any part of the Service or its infrastructure
  • Impersonate any person, entity, or business
  • Scrape, harvest, or collect user data without consent
  • Send unsolicited commercial messages (spam) through the platform's communication features
  • Use the Service in any way that could damage, disable, overburden, or impair it
  • Circumvent any rate limiting, authentication, or security measures

Violation of these rules may result in immediate suspension or termination of your account.

8. Groomer Obligations

As a Groomer using the Service, you agree to:

  • Be a legitimate business. Provide truthful information about your grooming services, pricing, and availability.
  • Honour appointments. Fulfil or properly cancel appointments booked through your booking page in a timely manner.
  • Handle client data responsibly.You are a data controller for your clients' personal data. You are responsible for complying with GDPR and all applicable data protection laws when collecting, storing, and using client data through the platform.
  • Obtain client consent. Where required by law, obtain appropriate consent before sending SMS or email communications to clients.
  • Not misuse client contact details. Client information collected through your booking page must only be used in connection with providing grooming services.
  • Maintain professional standards. You are solely responsible for the quality and safety of the grooming services you provide.

9. Payments and Stripe

The Groomers Base does not charge a platform fee or commission on groomer-client transactions. Groomers keep 100% of what they charge their clients (subject to Stripe's standard processing fees).

Optional online payment processing for groomer-client transactions is powered by Stripe. To accept online payments from clients, you must connect a Stripe account via Stripe Connect. By doing so, you agree to the Stripe Connected Account Agreement and Stripe's Terms of Service.

We are not responsible for payment disputes, chargebacks, or Stripe account suspensions. Payouts from Stripe are subject to Stripe's payout schedule (typically 2 business days rolling).

Your platform subscription (paying us) is separate from client payments (your clients paying you) and is billed through a separate Stripe Billing relationship.

10. Data and Privacy

Your use of the Service is governed by our Privacy Policy, which is incorporated into these Terms by reference.

Data roles.The Groomers Base acts as a data processor for client personal data that Groomers collect through the platform. Each Groomer is a data controller for their clients' personal data and is independently responsible for GDPR compliance in their jurisdiction.

Data retention after account deletion.When you delete your account, your data and your clients' data will be soft-deleted immediately and permanently deleted within 30 days, except where we are required by law to retain certain records.

Data export. You may request a full export of your data at any time from your account settings or by contacting support@groomersbase.com.

11. Intellectual Property

The Service, including its software, design, trademarks, and original content, is owned by The Groomers Base and protected by applicable intellectual property laws.

You retain full ownership of content you upload to the platform, including business information, service descriptions, photos, and client notes. By uploading content, you grant us a limited licence to store, display, and transmit that content solely for the purpose of providing the Service.

You may not copy, reproduce, distribute, or create derivative works from the Service without our express written permission.

12. Disclaimers

The Service is provided "as is" and "as available" without warranties of any kind, express or implied, including but not limited to warranties of merchantability, fitness for a particular purpose, or non-infringement.

We do not warrant that the Service will be uninterrupted, error-free, or completely secure. We are not responsible for any loss of data resulting from technical failures, though we take reasonable precautions to prevent such losses.

We are not liable for the actions or omissions of Groomers or Clients, the quality of grooming services provided, or any disputes between Groomers and their Clients.

13. Limitation of Liability

To the maximum extent permitted by applicable law, The Groomers Base and its operators, employees, and agents shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including but not limited to loss of profits, loss of data, loss of goodwill, or business interruption, arising from your use of or inability to use the Service.

Our total aggregate liability for any claim arising out of or related to the Service shall not exceed the total amount you paid to us in the 12 months preceding the claim.

Some jurisdictions do not allow the exclusion of certain warranties or limitation of liability. In such jurisdictions, our liability is limited to the greatest extent permitted by law.

14. Termination

We reserve the right to suspend or permanently terminate your account, with or without notice, if we reasonably believe you have violated these Terms, engaged in fraudulent activity, or pose a risk to other users or the Service.

Upon termination by us for cause, no refund will be issued for the current billing period. Upon cancellation by you (see Section 15), access continues until the end of the current billing period.

Following account termination or cancellation, we will retain your data for 30 days before permanent deletion, during which time you may request a data export.

15. Cancellation Policy

You may cancel your subscription at any time through your account's billing settings (Settings → Billing → Manage Subscription). Cancellation takes effect at the end of your current billing period — you retain full access until then.

We do not provide partial-month refunds. If you cancel mid-period, your subscription remains active and no further charges will be made after the period ends.

To permanently delete your account and all associated data, use Settings → Account → Delete Account, or contact us at support@groomersbase.com.

16. Changes to Terms

We may update these Terms from time to time. For material changes, we will notify you by email at the address on file and/or by displaying a prominent notice within the Service at least 14 days before the changes take effect.

Your continued use of the Service after the effective date of the revised Terms constitutes acceptance of those changes. If you do not agree to the revised Terms, you must cancel your account before the effective date.

17. Governing Law and Disputes

These Terms are governed by and construed in accordance with the laws of the Republic of Cyprus, without regard to its conflict of law provisions.

Any dispute arising out of or in connection with these Terms shall first be attempted to be resolved amicably by contacting us at support@groomersbase.com. If the dispute cannot be resolved within 30 days, it shall be subject to the exclusive jurisdiction of the courts of the Republic of Cyprus.
